4.1.3.1 Set submit parameters

To set the submit parameters for the reports, select Submit Controls from the Control Settings menu. Figure 4-7, Set Submit Controls form appears on the screen.

All of the data set in this form only relates to generating a batch job to produce a report. This data does not affect the MEDIA database.
Data Description
Log file name This specifies where to place the report log file that is created during report generation. Any file name that is provided is parsed and a default of "SYS$SYSLOGIN:report_name.LOG" is used to complete any missing elements.
Batch queue name This defines what batch queue the report generation job is to be placed in for execution. This can be either a generic or node specific execution queue. The default, if none has been defined either implicitly or explicitly, is SYS$BATCH.
Job name in queue This defines the job name that is to be assigned this report generation job when it is in the batch execution queue. This name will only appear when you use the VMS command SHOW ENTRY or SHOW QUEUE. By default, this name is the same as the job entry in the MEDIA database.
Submit after Job won't be executed until after this time.
Queue characteristic This is a single known characteristic name that is to be associated with the job when it is submitted. Characteristics are arbitrary attributes that can be assigned to job queues. A job will only execute in a queue with matching characteristics.
Queue priority This specifies what queue priority to assign this job when it is inserted into the batch queue for execution. The priority is NOT the execution priority but strictly the priority used to order jobs in the batch execution queue while they are waiting to start.
Action flags The following flags are set to perform the specified actions:

Hold job in queue - Place the job in the PENDING state on entering into the batch queue.
Notify user when done - Notify user, by beep and message, when the submit job is completed.
Delete com file - Delete the job temporary COM file on completion.
Create log file - Create a log file using the specified name or a default name.
Keep log file - Keep the log file on line after the job finishes.
Print log file - Print the log file after the job finishes.

Working set parameters: The three working set entries shown on the form in Figure 4-7 provide for limitations on the batch job use of system resources. Each of the values must be within the range specified by SYSGEN parameters, i.e., PQL_MWS* < paramter < WSMAX.

Working set default defines the number of physical pages that the job can use.
Working set quota defines the amount of physical memory that the job is guaranteed.
Working set extent defines the maximum amount of physical memory that the job can use.

For each of the parameters:

if the queue on which the job executes has a nonzero value for that parameter, then the smaller of the queue value and the job value is used.
if the queue on which the job executes has a zero value for that parameter, then the smaller of the job value and the value in the user authorization file (UAF) is used.
if the user-specified job value is 0 or NONE, then either the queue value or the UAF value is used.

Note

These parameters should not be of consequence to general usage of the Report software but are provided here for completeness. For additional information on these parameters, see VMS System Management, Volume 1A.

4.1.3.2 Set print parameters

To set the print parameters for the reports, select Printer controls from the Control Settings menu. The Printer Controls appears on the screen. All of the data set in this form only relates to generating a batch job to print out a report. This data does not affect the MEDIA database.


Data Description
Form name This is the name of the form to be used in printing the report.
Printer queue name This defines what print queue the report generation job is to be placed in for execution. This can be either a generic or node specific execution queue. The default, if none has been defined either implicitly or explicitly, is SYS$PRINT.
Job name in queue This defines the job name that is to be assigned this report generation job when it is in the print execution queue. This name will only appear when you use the VMS command SHOW ENTRY or SHOW QUEUE. By default, this name is the same as the report name.
Print after This is the time when the job, pending in the print queue, will be executed.
Queue characteristic This is a single known characteristic name that is to be associated with the job when it is printed. Characteristics are arbitrary attributes that can be assigned to job queues. A job will only execute in a queue with matching characteristics.
First page note This is the note that will be printed on the banner page.
Queue priority This specifies what queue priority to assign this job when it is inserted into the print queue for execution. The priority is NOT the execution priority but strictly the priority used to order jobs in the batch execution queue while they are waiting to start.
Number of copies This is the number of reports to be printed.
Action flags The following flags are set to perform the specified actions:

Hold job in queue - Place the job in the PENDING state on entering into the print queue.
Notify user when done - Notify you, by beep and message, when the printing of report is completed.
Delete file after printing - Delete the report file after printing.
Print burst page - Print burst page at beginning of report.
Insert form feeds - Insert form feeds into report.
Print flag page - Print flag page at beginning of report.
Data contains lowercase - Note that some characters in the report are lowercase.
Print trailer page - Print trailer page at end of report.

4.1.3.3 Print report

In order to print the report, select Print report from the Control settings menu. A report similar to the one shown in Figure 4-5 will output to the printer, subject to the control settings described above.

4.1.4 Review/edit Ext ID list

In some cases, the list of media created by the database search may include some media that is not desired or additional media may need to be added. This option allows the MANAGER to edit the list. In order to review and/or edit the list of media created in the Establish media option, select Review/edit Ext ID list from the Media pool management menu. The external ID's will be listed and may be edited, if desired.


4.1.5 ASSIGN media list to user

This option allows the MANAGER to assign media to a user for personal use. The media will be assigned one at a time and the MANAGER will be notified and/or prompted depending on the notification settings. In order to assign the media in the list created in the Establish media option, select ASSIGN media list to user from the Media pool management menu. A form will appear requesting the user name.


After a valid user name is entered, the media will be assigned to that user. CONFIRM and/or LOG messages will appear, if the manager has selected those options under the Control settings menu.

4.1.6 RELEASE media list to pool

This option allows the MANAGER to transfer media to the released pool. In order to release the media in the list created in the Establish media option, select RELEASE media list from pool from the Media pool management menu.

The media in the list will be released to the released pool. CONFIRM and/or LOG messages will appear, if the manager has selected those options under the Control settings menu.

4.1.7 DELETE media list from pool

This option allows the MANAGER to delete media from a pool. In order to release the media in the list created in the Establish media option, select DELETE media list from pool from the Media pool management menu.

Each of the media in the list will be deleted from the database. CONFIRM and/or LOG messages will appear, if the manager has selected those options under the Control settings menu.

4.1.8 RE-USE media in list

This option allows the MANAGER to re-use (place in the available pool) media that have been tranferred to the release pool, before their automatic default transfer date. In order to re-use the media in the list created in the Establish media option, select RE-USE media in list from the Media pool management menu.

AEach of the media in the list will be transferred to the available pool. CONFIRM and/or LOG messages will appear, if the manager has selected those options under the Control settings menu.

4.1.9 ADD media to pool

This option allows the MANAGER to add a range of media to a selected pool by specifying the range of names. In order to build the media list based on a range of external ID's, choose ADD media to pool from the Media pool management menu. The external ID in the list will consist of two elements: a prefix and number attached to that prefix. This method makes it easier to add a large range of media without naming them individually.

Figure 4-8 displays the form used to create the list based on a range.

As the form indicates, the maximum size of the external ID is 9 characters, but it is recommended that you use a 6 character or smaller external ID. This is in order to keep the media's external ID compatible with it's internal ID. For each of the media, the external ID will be the result of the concatenation of the PREFIX and the RANGE entered.

For example, suppose you want to add 5 new tapes to the library and you want their external ID's to be TAPE01 to TAPE05. You would simply enter TAPE in the PREFIX field, 01 in the RANGE START field and 05 in the RANGE STOP field. The list of tapes that would be in the list are:

After specifying the range, the form shown below will appear.


The system defaults are displayed, but may be edited for the media to be added. The fields in the form are described below.
Data Description
Alias This is the descriptive name which a user assigns to the medium and uses to refer to it. The alias may be any alphanumeric combination of 1 to 21 characters.
User This is the user name assigned to the medium.
Comments This is a text field into which any text data can be inserted.
Location This is the rack or bin in which the tape will be stored. This is sent along with the external ID to the operator whenever the medium needs to be mounted on a drive.
Pool Use this field to designate the pool assignment for the medium: available, allocated or released.
Type Specifies the base TYPE category for a medium. All TYPES are defined in the parameter file. Only predefined values can be entered here.
Density The recording density of the tape. The default will cause the system to automatically toggle to the correct density setting during a mount or update operation, if the density is not known.
Capacity This is either the total length of a reel in feet or total disk space in megabytes.

The manager may either fill in the fields with the media data or press the FIND key with the cursor in the particular field. The latter will bring up a menu for displaying appropriate options as defined on your system.

4.2 Offsite/Onsite functions

The Offsite/Onsite functions option is for MANAGERS who are interested in getting information and modifying the status of offsite and onsite media. Using this option, media may be marked as onsite or offsite. The ability to display and print reports is also included in this option.

Select Offsite/Onsite functions from the Manager's express functions menu. The menu shown below will appear.


Note

The first menu option "Establish media list" is essential to the remaining functions on the menu. The list must be established or the remaining functions will not operate.

4.2.1 Establish media list

The purpose of this option is to establish a list of media to view and/or modify based on location. For instance, if a MANAGER is interested in his offsite media, he could establish a list of media to return onsite using this option. The list could then be viewed and edited and used for the location.

In order to establish a media list, choose Establish media list from the Location Management Controls menu. The form shown below will appear.


The definitions of these fields are shown below.
Data Description
Media Type Specifies the base TYPE category for a medium. All TYPES are defined in the parameter file. Only predefined values can be entered here.
Onsite location A text field specifying the location of an onsite medium.
Offsite location A text field specifying the location of an offsite medium.
Send date A text field specifying the date an onsite medium is to be sent offsite.
Return date A text field specifying the date an offsite medium is returning onsite.
List media to send offsite An X indicates that all media that are marked to be sent offsite with a matching date will be listed
List media to return onsite An X indicates that all media that are marked to be returned onsite with a matching date will be listed
